Compliance/Design Review Assistant - Scope of Services - May consider remote work

GENERAL PURPOSE: Responsible for conducting on-site site visits in our subdivisions to assess compliance violations and builder concerns (when appliable) and mail out violation notices according to Governing documents. Assisting with design reviews, responsible for intake of submittal forms from homeowners and forwarding them to the review committee(s). Including, but not limited to intake, forwarding, follow-up, tracking and responding.

SUPERVISORY RESPONSIBILITY: None

ESSENTIAL DUTIES / RESPONSIBILITIES

  • Schedule site visits for covenant violations
  • Conduct on-site drive-through site visits to assess owners that are not in compliance with the Governing Documents
  • Understand and interpret various Governing Documents (Covenants, Guidelines, etc.)
  • Imputing violation items into the company management software to mail to owners that are out of compliance
  • Perform a variety of general clerical duties including updating client records with violation information, verifying accuracy of information, and updating records as changes/updates to the status of the violations are found
  • Schedule site visits for company vehicle(s) as needed
  • Water and gas meter reads
  • Review submitted design plans by email or through web portal for completeness and compliance with governing documents
  • Ensure plans fit within the Governing Documents as uniformly and impartially as possible
  • Complete approval paperwork and send the final review to the homeowner
  • Facilitate the design review process in a timely manner
  • Track incoming submissions and fees where applicable
  • Customer service via telephone, email, and in person contact
  • Ability to accurately compose spreadsheets
  • Operate modern office machines and equipment including PCs, printers, copiers, calculators, postage and fax machines; routine use of office software applications, internet savvy
  • Adhere to safe work practices and procedures
  • Additional tasks as assigned and appropriate

REQUIRED KNOWLEDGE, SKILL AND ABILITY

  • Self-directed learning a plus
  • Superior knowledge of English word usage, spelling, grammar, vocabulary, and punctuation
  • Knowledge of standard office procedures, methods, and equipment
  • Skill to operate modern office equipment and software
  • Skill to type and enter data at a speed necessary for successful job performance (minimum 45 WPM)
  • Conflict resolution skills required
  • Ability to deliver courteous and professional customer service
  • Ability to learn the procedures and functions of the assigned position
  • Ability to plan and organize work to meet schedules and timelines
  • Ability to understand and follow oral and written instructions
  • Ability to communicate clearly and concisely, both orally and in writing
  • Ability to establish, maintain and foster positive and harmonious working relationships with others in the course of work with clients and co-workers
  • Ability to maintain confidentiality
  • Ability to work creatively, suggesting efficiencies and changes to workflow when opportunities arise

EDUCATION AND EXPERIENCE

  • A minimum of a high school diploma and one (1) year experience in an office setting
  • Diploma from an accredited college or university a plus
  • Experience working with Homeowners Associations or Metropolitan Districts a plus

LICENSES, CERTIFICATES, OR REGISTRATIONS

  • Valid Colorado Driver’s License a must
  • Clean Driving Record preferred

MATERIAL AND EQUIPMENT DIRECTLY USED

  • Must be able to operate a PC, software, e-mail, calculator, telephone, fax machine, printer, copy and postage machine

WORKING ENVIRONMENT/PHYSICAL ACTIVITIES

  • 40-hour work week
  • Workday is varied with a standard day of 9 hours and every other Friday off
  • Able to lift up to 25 lbs.

Job Type: Full-time

Pay: $16.50 - $17.00 per hour
