Job Summary


This position exists to provide the administrative and clerical services necessary to process the incoming and outgoing facility and incarcerated person mail, correspondence, and packages, and to document a wide variety of legal and financial transactions for incarcerated persons and institution staff. The position assists with ordering, stocking, maintain, and issuing materials and supplies. All responsibilities must be performed according to established DOC policy and procedures and U.S Postal regulations, with a major emphasis on security to ensure that no contraband, unauthorized mail, or items enters or leave the facility through the mail. This position will aid the warehouse/receiving.

The position works within a Minnesota Correctional Facility – MCF Shakopee.

Qualifications

Minimum Qualifications

  • Math skills sufficient to perform basic math calculations such as correctly processing orders and United Parcel Service (UPS) shipments, determining proper mail postage, reconciling order statements, and preparing purchase requests.
  • English language skills (written, oral, and ability to read) sufficient to communicate clearly and accurately while speaking or writing and sufficient to understand the variety of documents that are necessary to read.
  • Typing/keyboarding skills sufficient to perform skilled typing tasks with speed and accuracy.
  • Word processing skills (preferably Microsoft Word) sufficient to prepare documents and reports that are grammatically correct, in proper format, and free of spelling errors.
  • Spreadsheet software skills (preferably Microsoft Excel) sufficient to enter data in, develop, and manipulate spreadsheets.
  • Data entry skills sufficient to access and update DOC-specific databases and other computer systems to gather and report data. Systems include the Statewide Integrated Financial Tools (SWIFT)-Fixed Assets, iTag, JPay, Boxi reports, Electronic Inter-office Requisition (EIORs), Outlook, and iShare, FedEx, Speedy and mailroom programs.
  • Database management skills sufficient to query information from computer logs and systems such as the Correctional Operations Management System (COMS).
  • Customer service skills sufficient to deal diplomatically with staff, offenders, other agencies, and the public via the phone and in-person.

Preferred Qualifications

  • Experience working in a mailroom in a large organization.
  • Experience working in a secured or correctional setting.
  • Experience working with fixed assets in a large organization.
  • Knowledge of iTag, COMS and/or JPay.

Physical Requirements

The selected finalist is required to review and sign a Physical Demands Analysis (PDA) for this position. For a copy of the PDA, please email Shelley Rojesky at shelley.rojesky@state.mn.us. This position will require Tuberculosis screening prior to hire.

Additional Requirements

The selection process may include screening the top candidate(s) on their criminal history, predatory offender registration, offender associations and/or other applicable background information in accordance with Department of Corrections’ policy.

Employment history/reference checks, including incidents of sexual harassment, will also be conducted on the top candidate(s) in accordance with Department of Corrections’ policy. This may include a review of job performance and discipline records.

New employees will be fingerprinted within the first 30 days of employment.
