Responsibilities

POSITION PURPOSE

Supports MercyOne and project managers in processing financial and accounting documents related to construction projects and equipment purchases by obtaining related management and governance approvals, developing accurate capital project budgets, providing accurate reporting of budget to actual spend by project and related variance analyses, preparing expected cost to complete reports by project and reconciling project spend with general financial and accounting information.

ESSENTIAL FUNCTIONS

  • Collaborates with and supports construction project team by developing and maintaining financial reporting including cost and capitalization. Analyzes, updates and reports on actual v. budget, project status and spend on a routine basis.
  • Analyzes and performs review of project spend in comparison to contract terms and agreement. Ensures documentation contains correct accounting and project information such as correct purchase order information, ensuring follow up, planning, and execution of change orders and notices. Documents costs not allowed under the capital process and communicates findings to project managers and key stakeholders/vendors. Obtains most current documents that reflect final amounts approved for payment.
  • Supports the Finance department with monthly accounting and reporting of project transactions for journalizing activity and reconciliation into various financial systems. Ensures the integrity of interfaces and process/information flows between PeopleSoft and Asset Management System applications to ensure completeness of data.
  • Develops, creates and distributes summary and detailed reporting to include capital project actual spend, budgets, commitments, cost to complete, final estimate of spend and summary spend variance analysis for Facilities, management, and Board Committees. Supports preparation of related financial documents for related executive meetings and/or other routine and special project meetings which may occur. Researches and investigates inquiries and provides responses in a timely fashion.
  • Provides accounting assistance to MercyOne stakeholders as needed. Maintains an open and positive working relationship with all levels of management, department stakeholders and colleagues to ensure efficient communication and timeliness of reporting.
  • Serves as financial subject matter expert in correct interpretation and execution of MercyOne policies related to capital, the capital budgets, capital purchase contracts, change orders and notices to proceed. Works with project managers to prepare capital budget authorization for capital approval committee team when capital project budgets are expected to be exceeded. Secures and retains appropriate approvals and tracks subsequent capital budget changes. Reviews and audits legal change documents to ensure proper back-up documentation is maintained.
  • Uses industry appropriate guidelines for the placement of assets into service and assignment of life to assets.
  • Reconciles Construction in Progress and Fixed Asset Holding accounts monthly.
  • Identifies and analyzes ways to improve work processes, job design and customer satisfaction and implements appropriate changes that support the overall goals of the organization.
  • Develops effective internal controls that promote adherence to applicable professional accounting standards and organization policies and procedures. Seeks advice and guidance as necessary to ensure proper understanding and integrates knowledge gained into current work practices.

Qualifications

Minimum Education:
  • Required: Bachelor’s Degree
  • Preferred: Master’s Degree
  • Specify Degree(s): Accounting
Minimum Experience:
  • Required: 3-5 years of previous job-related experience
  • Details: Minimum of 3 to 5 years accounting and/or finance experience in project budgeting, reporting, cost to complete and variance analysis related to construction projects. Experience in accounting for multiple capital projects with costs exceeding $1 million. Knowledge and work experience of PeopleSoft activities a plus.
