General Purpose:

The Burnt Pine F&B and Membership Coordinator offers various services as necessary to ensure exceptional guest experiences and properly support the Conference Services Managers. This includes interacting with walk-in guests, offering directions to various locations on property, handling comments and solving problems regarding resort transportation.

Essential Duties:

  • Composes and prepares confidential correspondence, reports, and other complex documents.
  • Organize copy and distribute banquet event orders per departmental policy. Responsible for maintaining and updating Master Banquet Event Order book.
  • Assist Members and Guests with business needs.
  • Compile and distribute reports as needed. Must have a strong working knowledge of all Microsoft Office Suite applications.
  • Takes incoming calls and correspondence and responds independently when possible.
  • Prepares memorandums, information packets and welcome packets as requested by Management.
  • Directs preparation of records such as agenda, notices, minutes, and resolutions for departmental meetings.
  • Creates and maintains database and spreadsheet files.
  • Accepts and processes requests for in-house meetings, social engagements, and day meetings (as needed) through generation and distribution of Banquet Event Orders.
  • Consults function calendars and records to determine space availability for dates and times requested.
  • Recommends and coordinates the set-up for events based on the number of participants and program.
  • Must be available to assist with the preparation and execution of Special Events as needed.
  • Develops new and innovative ways in which to stimulate member activities and participation in Golf and Club events.
  • Coordinates catering of meals or snacks as requested by the Head Golf Professional for Tournaments.
  • Other duties as assigned

Education:

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

Basic Required Skills:

  • Communicate with a two-way radio system.
  • Possess excellent organizational skills.
  • Have a valid driver’s license and be able to operate a motor vehicle.
  • Must be able to speak, read, write and understand the primary language(s) used in the workplace.
  • Must be able to read and write to facilitate the communication process.
  • Requires good communication skills, both verbal and written.
  • May be required: to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form; to deal with problems involving several concrete variables in standardized situations.

Physical Demands:

  • Most work tasks are performed outdoors in the seasonal elements.
  • Must be able to stand and exert well-paced mobility for up to 8 hours in length.
  • Must be able to exert a well-paced ability to maneuver between functions occurring simultaneously.
  • Must be able to lift items weighing up to 50 lbs. on a regular and continuing basis.
  • Ability to perform heavy physical labor. May be required to work in an environment that includes such activities as bending, lifting, stooping, kneeling, climbing, reaching, standing, walking, pushing, pulling, and grasping for up to 5 hours without sitting.
  • May need to lift up to 100 lbs. occasionally and up to 50 lbs. frequently.
  • Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening, and hearing ability, and visual acuity.
  • Talking and hearing occur continuously in the process of communicating with guests, supervisors, and other employees.
  • Vision occurs continuously with the most common visual functions being those of near vision and depth perception.
  • Requires manual dexterity to use and operate all necessary equipment.
