(Job #525365) Student Services Professional IV, Associate Director of Advising, Salary Range: $5,732-$8,176 Monthly. This is a full-time, benefited, exempt, 12-month pay plan, permanent position with a one-year probationary period in the Academic and Career Advising Center. Position Summary: Under direct supervision by and in coordination with the Director of Advising, this position is responsible for helping coordinate all the staffing, programming and services of the Academic and Career Advising Center. This includes supporting the director in the management of all ACAC programs, monitoring caseloads for 15+ academic advisors, partnering with various departments on campus in collaborative programming, and ensuring up-to-date training for all ACAC staff. This position will assist in the hiring of new staff and the monitoring of all daily functions of the advising center and advising staff.

Key Responsibilities:

Academic Advising Programming

Assists in the design and implementation of a wide range of services which enhance student academic success, including academic advising and educational support for Cal Poly Humboldt Students. Works with instructional and co-curricular programs to research student issues and needs in regards to advising and planning and helps develop programs that will help ensure the success of at-risk and underrepresented populations. In collaboration with the Director, plans and implements the training of staff and faculty regarding new and existing advising and career services in order to foster a holistic advising and whole student development advising culture on campus. Serves as a representative of ACAC to the Advising Working Group, Registration Team, the Advising Roundtable, Orientation, and other departments and collaborative efforts. Works with the Registrar to ensure that advising and career services are part of the information and orientation received by new students. Coordinates Summer Registration for incoming first-time-freshmen.

Outreach

Assists with outreach activities including college and academic department events, partnerships across campus, staff recruitment, and collaborative programming.

Student Contact

Works directly with students on the most complicated issues regarding academic success.

Administration

Coordinates staff and student assistant scheduling, including telecommute/multi-office scheduling, coordinating drop-in schedules and assisting in the assigning and managing of caseloads. Provides appropriate and on-going opportunities for cross-training staff in areas such as current academic program requirements, advising practices, student development, and career planning. Works with staff on visioning and planning of services to meet student needs. Holds regular consultation with staff regarding policy changes and best practices. Advises director regarding work load and performance of staff. Adds input regarding staff performance evaluations. Assists the Director in developing and implementing the overall departmental strategic plan. Assist in budget tracking, purchasing and paperwork related to onboarding new staff.


Knowledge, Skills, and Abilities Associated with this Position Include: Thorough knowledge of the policies, procedures and practices of the program area to which assigned or the ability to quickly acquire such knowledge. General knowledge of the policies, practices and activities of Student Services programs outside the program to which immediately assigned; general knowledge of the principles, problems and methods of public administration, including organizational, personnel and fiscal management; general knowledge of advanced statistical and research methods. Ability to carry out very complex assignments without detailed instructions; advise students individually or in groups on varied and complex matters; determine the appropriate course of action and proper techniques to utilize while engaged with individuals and groups in personal interactions of a sensitive nature; reason logically and analyze and solve organizational and operating problems of one or several program areas; plan, coordinate and initiate actions necessary to implement administrative or group decisions or recommendations; analyze and define complex organizational, policy or procedural problems, collect and evaluate data, draw valid conclusions and project consequences of various alternative courses of action; understand the roles and responsibilities of others and to gauge relationships accordingly by taking into account the variety of the interrelationships, motivations and goals of the members of the organization served; and establish and maintain effective, cooperative and harmonious working relationships in circumstances which involve the denial of requests or the necessity to persuade others to accept a different point of view. establish and maintain cooperative working relationships with a diverse group of students, staff and faculty. Possession of these knowledge and abilities is typically demonstrated through experience and education required.

Minimum Qualifications: Equivalent to graduation from a four-year college or university in a related field. Possession of these knowledge and abilities is typically demonstrated through the equivalent to four years of progressively responsible professional student services work experience which includes experience in advising students individually and in groups, and in analysis and resolution of complex student services problems. A master’s degree in a job-related field may be substituted for one year of professional experience. A doctorate degree and the appropriate internship or clinical training in counseling, guidance or a job-related field may be substituted for two years of the required professional experience for positions with a major responsibility for professional, personal or career counseling.

Preferred Qualifications: Experience with Peoplesoft, Uachieve (DARS Degree Audit), Oracle, OBI, AdobeSign, CSU Procurement Procedures, MS Office and Google Suite.
