The University Methodist Preschool of Excellence and Afterschool Program (UMPEA) is committed to providing quality care through guidance and education to produce individuals that are emotionally and socially ready to interact in group settings. In order to achieve this goal, the staff of UMPEA are required to perform the duties as listed in the job description as well as any assigned duties that relate to their job and/or professional development.

Primary Function and Relationship: The Office Manager is essential for the professional environment of the school; this includes but is not limited to the supervision of staff, the office, and assisting the Executive Director and Assistant Director. The Office Manager assumes the responsibilities for duties involved with administrative operations of UMPEA and in providing support to the staff, children’s parents and the UMPEA program as needed.

Required Qualifications: Qualified candidates must have a Bachelor’s Degree in Early Childhood Education or related discipline such as Accounting and at least one year experience in administration of a child care program. Candidate is still eligible if they have a Child Development Associates degree and a minimum of 10 years experience in a child care setting with increasing responsibilities OR candidate has 10 years experience working in a child care setting with at least 10 of those years working in an administrative capacity. The ability to work with diverse groups of people including parents, children, staff, church members and general public. Knowledge of best practices in human resources and state licensing procedures.

Duties and Responsibilities
1. Acting Director Designee whenever Director or Assistant Director is not on premise.
2. Abides by all Louisiana State Licensing Regulations and Standards.
3. Supervises all teaching staff to ensure the safety of children is enforced and maintained.
4. Insures the physical safety and well being of children and staff daily.
5. Works cooperatively with children, parents, co-workers and supervisors to ensure a professional, competent childcare program.
6. Communicates effectively with, and shows respect for children, parents, and staff.
7. Confers in an appropriate manner with parents pertaining to care of their children. Examples are to aid parents in completing enrollment packets, assist in tuition collection.
8. Respects and maintains confidentiality of all information about the child, parent(s) and staff during and after employment with UMPEA.
9. Maintains cleanliness of the school and follow all proper health and safety procedures such as sanitizing, hand washing, etc.
10. Performs daily duties as scheduled or requested in order to maintain the normal functioning of the school.
11. Possesses the ability to function effectively and cooperatively in and with a team.
12. Maintains a good public and professional image at all times and this includes adhering to the dress code.
13. Act in the capacity of a teacher in the classrooms whenever needed to ensure the safety and supervision of children.
14. Assist Director and/or Assistant Director with any major tasks or projects.
15. Ensure that all child files are complete and will pass any state audit of records.
16. Completes all required paperwork and maintains child and staff files whenever necessary.
17. Completes payroll and deposits that are submitted to church accountant.
18. Maintains accurate records for accounts receivable.
19. Attend all mandatory trainings, professional development conferences and staff meetings.
20. REPORT ANY SUSPECT ABUSE TO SUPERVISOR.
21. Conduct daily inspections of classrooms to ensure all licensing standards are met.

Physical Demands
1. Pass a physical exam prior to employment.
2. The ability to lift the weight of a preschool child (approximately 50 lbs) and in case of an emergency lifting a school age child with the help of other staff.
3. Individual spends a very active day, on feet a great deal of time, stooping, bending, walking, sitting on the floor and playing with children.

Working Conditions
1. Office is equipped with office furniture and machines as well as a Telephone that must be answered on a regular basis.
2. Classroom that is equipped with child-sized furniture.
3. Outside play year around as the weather permits.
4. Exposure to childhood diseases and illnesses.
5. Punch in and out using Time Clock when arriving or leaving for work or lunch breaks.
6. Lunch breaks are scheduled and according to agreed upon schedule determined by self and Executive Director.
7. Daily cleaning and sanitizing of tables and floor after activities and meals.
8. Daily cleaning and sanitizing of toilets, sinks, changing stations, toys and equipment in classrooms after use of children.
