Job Description
Come be a part of the Amarillo Fire Department. This position is part of the Fire Department Civilian team. Under the supervision of the Administrative Specialist II, this position performs general office duties of moderate difficulty. Work includes but is not limited to processing payment vouchers, administering departmental payroll and leave accounting, responding to calls, and providing a high level of internal and external customer service.
ESSENTIAL RESPONSIBILITIES:
- Acquires a working knowledge of the organization’s administrative policies and procedures.
- Completes all dockets (promotion, termination, etc.) and paperwork for promotional physicals.
- Handles payroll for all Fire Department employees.
- Prepares and pays all requisitions and enters data into the JD Edwards system.
- Cross trains other administrative staff positions.
- Maintains detailed inventory of all uniforms, equipment, and property issued to personnel and in inventory.
- Works with Purchasing Department to ensure the timely procurement of necessary items.
- Conducts annual and biannual inventory checks and audits.
- Organizes and manages inventory to ensure maximum space utilization.
- Issues equipment to personnel.
- Thorough knowledge of Excel and database software.
- Performs other job-related duties as assigned.
Knowledge, Skills, Abilities
- Knowledge of and experience working with various types of office-related software, including, but not limited to Outlook, Excel, Word, Access, Adobe, etc.
- Strong verbal and written communication skills.
- Ability to learn Fire Department payroll.
- Ability to prepare and maintain complex records and reports.
- Ability to establish and maintain effective working relationships, both internally and externally.
- Ability to work overtime if necessary.
- Ability to make rational decisions.
- Ability to operate small office equipment.
Licenses/Certification
Required Qualifications
- Requires a high school diploma or its equivalent.
- Minimum of two years administrative experience and three years of working in a Microsoft environment.
- Valid Texas Driver’s License is required.
Preferred Qualifications
A Bachelor’s Degree in Business or a related field is preferred.
