As an Administrative Coordinator in the Center for Advancing Population Sciences Department you will function as a key coordinator for center administrative operations involving apprenticeship training program, human resources, space, facilities, purchasing, financial management, and special projects. Works with center leadership to coordinate functions of the apprenticeship program and training objectives consistent with center and institutional policies and procedures.

Primary Functions

In this role, you will be an integral member of the Center for Advancing Population Science, collaborating to ensure all apprenticeship training program related activities are running effectively and efficiently. This opportunity uniquely exposes you to the academic medical center environment and learning across finance, research, and HR operations. The ideal candidate will practice strategic thinking, attention to detail, enjoy working in a fast paced and highly collaborative setting, adapting easily to changing tasks, and operates comfortable with a degree of autonomy in their work.

Responsibilities may include:

  • Develop and maintain database(s) to track, schedule, and record activities related to the program.
  • Coordinates, plans, and implements various training activities and procedures of the program.
  • Assists leadership with identifying, enhancing, and following specific processes and procedures to maximize the efficiencies of the center and program.
  • Designs and develops training materials, instructor guides, manuals and training aids, and evaluation and assessment instruments. Provide instructional tools and learning guides.
  • Regularly schedule meetings with trainees to discuss progress in program.
  • Ensures correct functioning of program, center facilities, office and /or business support services.
  • Directs center operations to prepare and retain records, files, and reports.
  • Manages daily operations of the program and in collaboration with the center, primarily in the areas of human resources, compliance, research, and financial management.
  • Coordinates recruitment, hiring, discipline and annual reviews.
  • Prepares and maintains all confidential records and files related to personnel matters.
  • Serves as resource on MCW policy to trainees, staff, and faculty.
  • Oversee special projects such as workshops, retreats, and advisory committee meetings.
  • Assists center leadership with directing center operations and allocates people, material, and financial resources to ensure operational efficiency.
  • Responsible for the coordination and operations including preparing reports, analysis, and other administrative services.
  • Assists in the development of center policy and procedures statements and implements approved changes to assure compliance with institutional policies.
  • Follow the MCW code of conduct, all laws, regulations, and policies and ensure legal compliance with governmental and grant requirements.



Knowledge – Skills – Abilities

Administrative Coordination requires an individual to have strong organizational skills and persistent follow through. Excellent oral communication and written communication skills are essential. Strong critical thinking, problem solving and attentiveness to detail are a must.

Must have strong computer skills and high comfort level with multiple web-based systems. Ability to maintain confidences, perform effectively in stressful, deadline-driven environment, and effectively plan and organize projects impacting the work of others. Must have strong customer service skills that includes courteous and helpful behavior, cultural awareness; accomplishing tasks through teamwork and initiative; ensuring timely and throughout responses to feedback and anticipating the needs of all those whom you work with.

Work requires resource management, mathematics, problem solving, coordinating work activities, critical thinking, systems analysis, operations analysis, time management, writing, active listening, and active learning skills. In addition, focus, building trust, communication, critical thinking, and influencing skills. Knowledge of technical, business, human resources, consultation, project management, and cultural awareness.

Preferred Schedule:
Full-time role with expectations for coverage during core business hours and flexibility required as necessary to accommodate business needs.
