Provides administrative support to a department or business unit.

Reports To: Department Head

Essential Duties & Responsibilities*:
  • Act as liaison between supervisor and others (ie. Departments, external contacts, subcontractors, clients, etc.)
  • Oversee/process day-to-day administrative items; mail, overnight mail, packages, expense reports, checks, etc.
  • Compose and/or edit/distribute letters, memos, reports and other departmental correspondence on time. Keep track of when recurrent reports are due and meetings are scheduled, including maintaining lists of recipients and/or participants.
  • Maintain prequalification (PQ) process using SAP database software. Monitor PQs and follow-up when updates are required, including phone calls to subcontractors.
  • Prepare purchasing documents using the SAP system, including subcontracts, purchase orders, professional service agreements, etc.
  • Perform follow-ups, including use of DocuSign software for document execution.
  • Follow-up for subcontractor insurance certificates; review same for compliance to job requirements.
  • Coordinate with CCIP coordinator on insurance issues.
  • Set-up and maintain files both paper and electronic.
  • Set-up and maintain purchasing status logs for each active job.
  • Maintain calendars with vacation dates, schedule/confirm meeting dates, etc.
  • Set-up for meetings (coffee, lunch, etc.)
  • Answer phones and direct calls.
  • Photocopying, filing and sending faxes.

  • Produce wage rate sheets to accompany subcontract. Include follow-up with location unions to obtain new formulas at increase time, mathematics to work with templates to generate accurate wage and hour rates.

Qualifications: Two or more years' experience in general office responsibilities and procedures. Working knowledge of Microsoft Word and Outlook; Excel and PowerPoint helpful. Must be able to work independently and as a part of a team.
