Job description

Office Support will type information into our database(s) from paper documents. The ideal candidate will be computer savvy and a fast typistwith a keen eye for detail. The company will rely on you for having accurate and updated data that are easily accessible through a digital database. Understanding data confidentiality principles is compulsory.

Assist the Purchasing Manager by coordinating activities involved in procuring and tracking goods and services in a timely manner to assure the on-time delivery of the customer’s product.

Transfer data from paper formats into computer files or database systems using keyboards

Type in data provided directly by customers

Create spreadsheets with large numbers of figures without mistakes

Monitor vendors for scheduled delivery, and communicates in advance with the production department for material delivery schedule.

Follow up with vendors on a daily and weekly basis to get status updates on quotes, and work in progress.

Monitor the NCR activity between the vendor and client to ensure effective corrective action and closure of the nonconformity.

Prepare POs for purchasing manager to review and approve

Prepare procurement documentation for purchasing manager to review and approve

Maintain a spreadsheet of each product type, (i.e. Stainless Steel) and update it on a daily and weekly basis

Verify data by comparing it to source documents

Retrieve data from the database or electronic files as requested

Sort and organize paperwork after entering data to ensure it is not lost (Standard Filing)

Prepare source data for computer entry by compiling and sorting information, and establishing entry priorities.

Process customer and account source documents by reviewing data for deficiencies; resolving discrepancies by using standard procedures or returning incomplete documents to the supervisor for resolution.

Enter customer and account data by inputting alphabetic and numeric information on the keyboard

Maintain data entry requirements by following data program techniques and procedures.

Tests customer and account system changes and upgrades by inputting new data; reviewing output.

Maintain customer confidence and protects operations by keeping information confidential.

Contribute to team effort by accomplishing related results as needed.

Display a sense of urgency toward completing assigned tasks

Confirms the specification of materials against customer requirements and drawings

Demonstrate a professional attitude when approaching work assignments.

Maintain a safe working environment.

Other duties may be assigned on an as-required basis.

Requirements

Proven experience as a data entry clerk (Basic understanding of database)

Knowledge of Blueprint reading is strongly preferred

Excellent knowledge of word processing tools and spreadsheets (MS Office Word, Excel, Outlook, etc.)

Working knowledge of office equipment and computer hardware and peripheral devices

Good command of English both oral and written and customer service skills

Ability to manage multiple tasks

Results Driven, Energy Level

Able to sit and work at a computer for long hours

Have a clean driver’s license

Work ethics: good attendance, punctuality, and professional attire

High school diploma or equivalent

JOB RELATIONSHIPS:

Report directly to Purchasing Manager.

Work closely with the Engineering Team, Purchasing Manager, Inventory Control Team, Production Manager & Team Leaders
