Administrative Assistant
Department: Administrative Office
Job Status: Part Time (25-28 hours per week)
FLSA Status: Non-Exempt
Reports To: Director of Office/IT
Grade/Level: High School Diploma
Location: Southfield (In Office/Not Remote)
Pay Range: $18-19.75 per hour
Position Summary:
Angels’ Place provides homes and services to adults with intellectual and developmental disabilities. Our homes are located in Wayne, Oakland, and Macomb counties. In partnership with other Aegis Team members, this position is responsible for providing an array of support to all areas of the organization.

Essential Functions Statement:
  • A pleasant disposition and a willingness to help – you will be the first impression many will have of our organization
  • Greet guests, answer phones, sort and distribute mail, and manage inbound and outbound deliveries
  • Provide administrative support. Including but not limited to:
  • Using, troubleshooting and maintaining standard office equipment
  • Using standard office software and Google suite to compose correspondence, reports, instructional materials, spreadsheets, forms and other documents
  • Draft, proofread and/or edit a variety of materials. Ensure materials, reports and documents are accurate and complete
  • Collect Board of Directors and committee reports and meeting minutes, and maintain archives
  • Screen leadership calendars: prepare meeting materials, prepare meeting spaces and provide follow up as needed
  • Respond to requests for information and direction
  • Follow up on various assignments to ensure needed action is taken
  • Respond independently to correspondence and inquiries regarding a variety of matters
  • Design, develop and maintain spreadsheets, databases, forms, reports requiring data interpretation and manipulation
  • Use shared mailbox to manage and send electronic communications
  • Support the waitlist and admission process
  • Handle sensitive and confidential information appropriately
  • Complete special projects as directed by leadership team
  • Revise/reformat annual documents as necessary
  • Serve as liaison/first point of contact to our residents, families, volunteers, donors, staff, event attendees, waitlist candidates, vendors and providers
  • Provide backup to other department staff as needed
  • Assist in managing office supply ordering and inventory
  • Ensure general office cleanliness and surface sanitization
  • Must have a willingness to work in a Christian faith-based organization in service to adults with intellectual and developmental disabilities
  • Must be willing to work collaboratively with other administrative assistants



SKILLS, EXPERIENCE OR QUALIFICATIONS:
Education
High School Diploma or Equivalent

Experience
A minimum of 2 years relevant work experience

Computer Skills
Above average technical efficiency in Microsoft and Google Suite

Additional Skills:
  • Excellent organizational skills, detail oriented, and able to communicate clearly and effectively
  • Understand and follow written and oral instructions
  • Ability to compose clear, concise and comprehensive analyses, correspondence, reports and other written materials from brief instructions
  • Ability to establish priorities and work effectively and independently with many demands on time
  • Critical thinking skills and sound judgment
  • Resourceful - uses all available means to accomplish a task

Other Requirements
  • Pass a physical, drug screen and obtain a negative TB test
  • Pass a criminal background check and fingerprinting
  • Must have a valid driver’s license, a good driving record, and dependable transportation
