SUMMARY: The Accounting Clerk will assist in maintaining financial records, offering administrative and bookkeeping assistance and confirms the accuracy of accounting database information.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable.
  • Manages accounts payable and establishes workflow processes.
  • Creates invoices according to company practices; submits invoices to customers.
  • Maintains and updates customer files, including name or address changes, mergers, or mailing attentions.
  • Drafts correspondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment.
  • Compares purchase orders, prices, terms of payment and determines eligibility of payables.
  • Creates reports regarding the current status of customer accounts as requested.
  • Researches customer discrepancies and past-due amounts with the assistance of the VP of Finance & Administration and other staff.
  • Collaborates with the VP of Finance & Administration to reconcile accounts receivable on a periodic (at least bimonthly) basis.
  • Assists in generating monthly billing statements based on the general ledger.
  • Assists in reconciling revenue accounts each month.
  • Copies, files, and retrieves materials for accounts receivable as needed.
  • Relays changes of information to appropriate employees.
  • Performs other related duties as assigned.

Qualifications:

  • High school diploma or equivalent required; Associates or Bachelor’s degree in Accounting preferred.
  • At least two years of related experience required.
  • Proficient on standard office software.
  • Positive, collaborative, and effective interpersonal skills; strong customer service orientation.
  • Excellent communication, verbal and written, interpersonal, negotiation, and conflict resolution skills.
  • Must possess initiative, decision-making skills and the judgment necessary to determine action or approach for assignments, and projects.

Requirements:

  • Experience with QuickBooks software

  • Stationary position: 100% office work requiring extended periods of stationary position and working on computer.

  • Move, Traverse: this position needs to occasionally move about inside the office to access file cabinets, supplies, etc.
  • Operate, Activate, Use, Prepare, Inspect, Place, Detect, Position: Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
  • Communicate, Detect, Converse with, Discern, Convey, Express oneself, Exchange information: this position frequently communicates with members and staff. Must be able to exchange accurate information in these situations.
